Creating New Records
Generate a form that creates a record instead of updating an existing one.
If no record_id is provided when the workflow generates a form, the first successful submission creates a new HighLevel record.
Creation mode supports Contact, Business, Opportunity and any HighLevel Custom Object.
Fields HighLevel requires on a new record
Most objects have at least one field HighLevel will not create a record without — usually the field that names the record, such as Opportunity Name, Company Name, or a Custom Object's own name field. This applies only when a record is created. Updating an existing record never requires it.
When you choose an Object in the workflow action, the Field visibility section names that object's required fields for you. Keep them visible, and add them to Required Fields so the person filling in the form has to supply a value.
If a required field is hidden, read-only, or simply left blank, the record is still created — the submission is never rejected for it. The field is filled with a placeholder instead:
| Field type | Placeholder value |
|---|---|
| Text fields, such as a name | <Link ID> (update JetSubmit workflow action) |
| Email fields | updateToCorrect+<Link ID>@example.com |
The Link ID in the placeholder identifies the form that created the record. Paste it into Link ID from recipient on the Forms Dashboard to find the exact link, then correct the workflow action behind it. A record holding a placeholder is a normal record — edit it in HighLevel like any other.
After the record is created
- HighLevel returns the new record ID.
- Update Records with Forms binds that record ID to the existing form link.
- Later submissions through the same link update that same record.
- Later submissions do not create additional records.
Workflow action response before submission
The generated workflow action response may contain:
| Property | Value |
|---|---|
success | Whether the form was generated successfully |
form_url | The secure public form link |
form_id | Identifier for the generated form |
form_reference | The business-purpose reference set on the action |
object_key | The selected object |
record_id | null in creation mode, until a record is created |
expires_at | When the generated link expires |
After the first successful submission
The Form Submitted trigger contains the newly created record_id and reports created: true.
Subsequent successful submissions on the same form report created: false.
